Front Desk Administrator
Job Overview
The Front Desk Administrator will play a critical role in supporting the daily operations of a busy multidisciplinary medical clinic. This position serves as the first point of contact for patients, ensuring the clinic operates efficiently and that all patients receive professional, timely, and courteous service. The Front Desk Administrator will manage appointment scheduling, cancellations, and rescheduling both in person and by phone or email, while also handling payment processing, records management, and general administrative duties. Working closely with clinicians, and office team members, this role ensures seamless communication between patients and healthcare providers and contributes to a positive patient experience.
Administration Responsibilities
Greet patients warmly, ensuring they feel welcomed and attended to promptly
Book, cancel, and reschedule appointments in person, by phone, and via email
Manage multi-line phone systems with professionalism, demonstrating excellent phone etiquette and providing customer support as needed
Handle incoming calls, respond to inquiries accurately, and take detailed messages
Process payments and handle daily transactions
Manage emails, faxes, scanning, and records
Collaborate with staff and physicians to ensure smooth clinic operations
Use Jane App, Ocean, PS Suite, and other clinic systems
Light housekeeping tasks, include maintaining a clean, organized reception area
Customer Service & Patient Relations
Provide excellent service to patients, answering questions and assisting with inquiries
Serve as a liaison between patients and clinicians
Handle confidential and sensitive information with discretion
Qualifications & Experience
At least 1 year receptionist/ office administration
Healthcare experience preferred
Health administration diploma, medical terminology course, or equivalent experience preferred
Strong interpersonal, oral, and written communication skills
Reliable, organized, flexible, and a team player
Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Prior experience with multi-line phone systems and phone etiquette is essential
Strong customer service skills with a friendly yet professional demeanor
Ability to manage time effectively, prioritize tasks efficiently, and handle multiple responsibilities simultaneously
Clerical experience including data entry, proofreading, filing, and calendar management is required
Hours & Work Setting
Monday - Thursday: 9:00am -2:00pm
Two Fridays per month: 9:00am - 4:00pm
Hours may change based on clinic needs
Fast-paced clinic environment
Attention to detail and ability to work under pressure
